How Much Does a Photo Booth Cost for a Corporate Event?

How much does a photo booth cost for an event? Nationally, a typical photo booth rental runs about $681, and corporate bookings run higher at a median of about $899, based on Check Cherry's 2026 booking data. A staffed, fully branded corporate setup with a photographer, studio lighting and a next-day gallery usually costs more. My team's Classic Photo Experience starts at $1,500 for San Antonio and Austin-area events.

I'm Esai. My team and I run branded photo booths, 360 video booths and roaming photographers for corporate events across Texas. Here's what the numbers mean and how to read a quote without getting surprised.

What does the data say a photo booth costs?

Most photo booth rentals land between $452 and $1,022, with a typical price of about $681. That's from Check Cherry, booking software that pulled data from about 118,000 rentals since January 2024.

Here are the national numbers that matter for a planner:

Two caveats. Check Cherry says weddings and corporate bookings run about 45% to 48% above a birthday or personal party at the median, but the occasion is only recorded on about a third of their bookings. And none of these numbers are Texas-specific. Treat them as the floor for a business event, not the ceiling.

Why do corporate photo booths cost more than party booths?

Corporate photo booths cost more because the job is bigger: a trained operator, real lighting, your branding on everything and a gallery your team can use. A party booth only has to make guests smile. A corporate booth also has to make your brand look good.

Think of it like catering. A drop-off tray and a staffed buffet both feed people. Only one of them is safe to put in front of your biggest client.

Here's what usually separates the two:

  • Staffing. Check Cherry found attended booths had a median of about $656, while drop-off booths sat around $450. At a client event, you want someone running it.
  • Branding. Thumbtack lists custom backdrops or branding on the booth at $150 to $300 as an add-on. For a company, that's not optional.
  • Hours. Check Cherry's median goes from about $495 for 2 hours or less up to about $993 for 5 hours or more.
  • Travel. About 1 in 5 rentals on Check Cherry carry a travel fee.
  • Day of week. Thumbtack notes many companies charge more for weekends and less on weekdays.

There's a cost you won't see on any quote. A corporate event planner who called my team's events line told me, "We've also had an event where they took photos, and we never even got the photos." A cheap booth that loses your gallery is the most expensive one you can book.

What's included in a corporate photo booth package?

A good corporate package includes the operator, camera, lighting, backdrop, your branded overlay, instant delivery to guests and a full gallery afterward. If a quote leaves any of those out, ask why.

Here's what's in my team's Classic Photo Experience starting price, so you have a real list to compare:

  • A dedicated photo operator who runs the booth all night
  • A pro camera and studio lighting
  • A backdrop styled to your theme or brand colors
  • Your logo on every photo, on an overlay you approve first
  • Photos delivered on the spot by text or email
  • The full gallery the next business day
  • Horizontal photos by default, vertical on request
  • Lead capture, if you want guest emails and phone numbers

On-site 4x6 prints are an optional add-on. Each print is ready about 30 seconds after the photo, with your logo on it.

That starting price covers San Antonio and Austin-area events. Houston, Dallas, Fort Worth, out-of-state, multi-day and custom backdrop builds are quoted based on the event.

How do the three options compare on cost?

A classic booth is usually the lowest starting point, roaming costs a bit more because you're paying for a working photographer, and a 360 is quoted per event. Here's how mine line up:

Roaming Photo ExperienceStarts at $2,000 (Austin and San Antonio)Mixers, multi-room venues, outdoor events

Most companies in this space say "request a quote" and stop there. I'd rather you know the starting point before you call, so you can give your boss a number in the first meeting.

How do you get a photo booth quote approved fast?

Send the vendor your date, city, hours and guest count, ask for a contract you can forward, and get it to your approver in one email. Most delays happen between the planner and the person who signs.

A planner who called my team's events line asked, "Do you send that in a contract in the email so I could have our VP take a look at it and then just bless it?" That's the right question. On my side, you hear back within 1 to 48 hours, and if your date is open, you get a proposal you can sign and pay in one place. Then 7 to 14 business days before the event, my team confirms your day-of contact and load-in plan.

How do you make the cost easy to defend? Show what the company gets back. The EventTrack 2026 study from Event Marketer found 59% of attendees capture content at live experiences. A branded booth gives them something with your logo on it to capture and share. Add the gallery and the lead list, and the line item starts to look like marketing.

Steal this: the 6-line quote check

Before you sign anything, check every quote for these six lines. Missing lines are where surprise fees hide.

  1. How many hours, and what does an extra hour cost?
  2. Is someone running the booth the whole time?
  3. Is my logo on every photo and on the text or email guests get?
  4. When do I get the full gallery, and how?
  5. Is there a travel fee?
  6. What do you need from the venue for space and setup time?

Common questions about photo booth cost for corporate events

How much does a photo booth cost for a corporate event?

Check Cherry's 2026 booking data puts the median corporate booking at about $899, and the typical rental of any kind at about $681. Staffed, fully branded setups with a next-day gallery cost more. My team's Classic Photo Experience starts at $1,500 for San Antonio and Austin-area events.

How much does a photo booth cost per hour?

Thumbtack lists photo booth rentals at $125 to $200 per hour, usually with a 2 or 3 hour minimum. That's a general rental rate, not a branded corporate package, so expect a business event with an operator, custom overlay and full gallery to come in higher.

What makes a photo booth rental more expensive?

Longer hours, a staffed operator, custom branding, travel and weekend dates all push the price up. Check Cherry found about 1 in 5 rentals carry a travel fee, and Thumbtack lists custom backdrops or booth branding at $150 to $300 as an add-on.

Is a roaming photographer more expensive than a photo booth?

Usually a little. You're paying for a working photographer who moves through the room instead of a fixed station. My team's Roaming Photo Experience starts at $2,000 in Austin and San Antonio, compared with $1,500 for the Classic Photo Experience in the same area.

If you're still weighing which option fits, my guide to corporate photo experiences compares the classic booth, the 360 and roaming side by side.
